When you apply, you can optionally allow us to verify the past conferences you listed. This is entirely voluntary: if you leave the box unticked, your application is processed exactly the same way and no check is run.

• What is sent: only the conference name, its date and, if you added one, the public link. Nothing else.
• What is never sent: your name, email address, age, country, any account detail, or any other answer in your application. The query cannot be linked to you by the provider. As an extra safeguard, our system automatically strips anything that looks like an email address or phone number before a query is stored or sent.
• Who processes it: the web search is performed by Tavily Inc. (USA) and the search results are evaluated by Google LLC (USA) through its Gemini API. Because conference names are public event names rather than personal data, these transfers do not involve your personal data. These providers may use the queries to maintain and improve their services.
• What we get back: whether the conference appears to exist, its public website and public contact addresses, a short factual summary and source links. Reviewers see this as advisory information only; every decision about your application is made by a person, never automatically.
• Minors: if you are below the digital age of consent, no check runs until your parent or guardian has approved your application.
• Retention: verification results are stored with your application and deleted when the application is deleted.
• Reuse: when a conference has already been verified, we reuse that result for other applications listing the same conference instead of searching again. The reused record contains only public conference information (name, date, website, public contact addresses, summary and sources) and holds no applicant data and no link to any applicant. If a publicly listed contact address should be removed from it, contact us and we will delete it.
