Terms of Service
These terms govern your use of the Nordic Diplomacy Initiative portal and participation in the conferences NDI runs, including NOMUN. By creating an account or applying you accept them. Last updated July 2026.
1. About this service
The Nordic Diplomacy Initiative ("NDI", "we", "us") is a standing, student led, non commercial initiative that designs, runs and archives Model UN activities. NOMUN (Nordic Online Model United Nations) is one of the conferences NDI runs. Each conference, including NOMUN and each of its editions, is an activity of NDI and not a separate organisation. This portal lets you create an account, apply to conferences such as NOMUN, and, if accepted, view your committee, country assignment and study materials. The service is provided on an "as is" and "as available" basis.
2. Who can register
The minimum age to take part is 14. If you are below the digital age of consent in your country of residence, you must provide accurate parent or guardian details, and we will obtain their consent before processing your application. Providing false age, identity or guardian information may result in your account being blocked.
3. Your account
You are responsible for the accuracy of the information you provide and for keeping your password secure. You must not share your account or impersonate anyone. Your date of birth is locked once confirmed; contact us if it needs correcting. You may edit your own profile and may make it private.
4. Ownership, brand, roles and volunteers
All rights in the Nordic Diplomacy Initiative and NOMUN names and logos, this website and portal, its software, its databases and member records, and the study guides and materials NDI produces, belong to NDI. Nothing on this portal transfers any of those rights to you.
Organiser, chair, administrator, secretariat and other volunteer roles are appointments made by NDI, in its sole discretion, and may be changed, suspended or withdrawn by NDI at any time. Holding or having held such a role, or contributing to a conference, does not make anyone a co owner or founder of NDI, of any conference or edition, or of its accounts, data or brand, and does not create any partnership or joint venture. No person may copy, export, retain, transfer, delete, or change access to member data or NDI systems except as NDI authorises, and only while that authorisation lasts. Removing, disabling or locking out NDI's designated administrator, or taking member data or accounts outside NDI's control, is a serious breach of these terms and may also be unlawful. On the end of any role, all NDI data, accounts and access must be returned or handed back and any copies deleted.
5. Applications, places and roles
Each role (delegate, chair, observer) may have its own application window, shown as open calls on the conference page; applications are accepted only while the relevant window is open. Submitting an application does not guarantee a place. We review applications and allocate roles, committees and countries at our discretion. A person cannot hold an organiser role and an accepted delegate or chair place in the same conference at the same time; accepting one will remove the other. If you are not selected for a particular role, you may apply again for a different role where one is available.
6. Acceptable use and conduct
We expect respectful, honest and inclusive behaviour at all times. Harassment, discrimination, plagiarism, sharing of others' personal data, and disruptive, unlawful or unsafe conduct are not tolerated and may lead to removal from an event and from the platform. You agree not to misuse the portal, attempt to gain unauthorised access to any account or data, interfere with other users' access, extract or scrape data you are not entitled to, or disrupt the portal's operation. A separate Code of Conduct applies during conferences.
7. Content and materials
Study guides and other materials provided through the portal are for your personal preparation for the conference only. You may not redistribute or publish them without permission. Some materials are hosted on third party services through links; those services have their own terms, and we are not responsible for their content or availability. You are responsible for any content you upload and confirm you have the right to share it. You grant NDI a limited, non exclusive licence to store and display the content you add for the purpose of running the service.
NDI owns what NDI makes. When we run or list an event through an outside website or app, we do not give that service ownership of NDI's name, logo, study guides, position papers, member records, or anything else we made. Some outside services say in their own rules that they can reuse whatever people upload there. That is an arrangement between the service and whoever uploaded the material. It does not take away NDI's ownership of what NDI created, or of the official records we keep on our own systems. If you upload something to an outside service, you do so under that service's rules and at your own risk.
8. Third party platforms
NDI may also list or run a conference through an external platform, such as a third party Model UN registration site. Those platforms operate under their own terms and privacy policies, hold their own copies of any data submitted through them, and are responsible for their own security and availability. We are not responsible for their acts or omissions. Any account or role you create on such a platform is separate from your NDI account and does not give you any right in NDI, its conferences, its data or its brand.
9. Live sessions and recordings
Conference debate takes place in NDI's own online meeting rooms. Sessions are recorded. NDI keeps each recording for a strict maximum of 96 hours and deletes it in full and automatically unless, within that window, a legal matter arises or an authorised person present reports an incident. Recordings are used only for participant safety, Code of Conduct enforcement, and legal compliance. Participants may not make their own recordings. See our Privacy Policy for the legal basis and your rights.
10. Fees
NOMUN is currently offered free of charge. If a fee is ever introduced for a future event, it will be shown clearly before you apply.
11. Availability and liability
We work to keep the portal running but do not guarantee that it will be uninterrupted, error free or secure, and we may change, suspend or discontinue any part of it. To the fullest extent permitted by law, NDI and its volunteers are not liable for any indirect or consequential loss, for loss of data, or for the conduct of other users or third party services. Nothing in these terms limits any liability that cannot be limited by law, including liability for death or personal injury caused by negligence. As a non commercial initiative, our total liability to you is limited to the amount, if any, you paid us.
12. Your responsibility for breaches
You agree to be responsible for, and to the extent permitted by law to indemnify NDI and its volunteers against, any loss, claim, cost or liability arising from your breach of these terms, your misuse of the portal or of data, or content you provide. This does not apply to loss caused by our own negligence or by anything that cannot be excluded by law.
13. Suspension and termination
We may suspend or remove accounts, roles and access that breach these terms or that pose a risk to other participants or to the integrity of NDI's data. You may delete your account at any time.
14. Data
Your personal data is handled as described in our Privacy Policy. NDI is the sole data controller. You can request access to, correction of, or deletion of your data at any time.
15. Governing law
These terms, and any dispute arising from them or from your use of the portal, are governed by the laws of Finland, and you and NDI submit to the courts of Finland, without affecting any mandatory consumer protection or data protection rights you have where you live, including under the GDPR.
16. Changes and contact
We may update these terms; the current version is always available here. Continued use after a change means you accept the updated terms. Questions: info@nordicdiplomacy.org.
